Information we collect
When you contact p4dotdigital, we may receive your name, email address, business name, website address, budget, timing and the information you choose to share about your proposed project. If we work together, we may also process contact, billing, contractual and project information needed to deliver the work.
How and why we use it
We use personal information to respond to enquiries, assess project fit, arrange conversations, prepare proposals, enter into and manage contracts, deliver services, keep business records and meet legal or regulatory obligations.
Our lawful bases are usually taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, or our legitimate interests in operating and improving the business. Where consent is the appropriate basis, you can withdraw it at any time.
Services that process information
The website enquiry form is processed by Formspree and delivered to p4dotdigital through Google Workspace. Website hosting and other trusted suppliers may process limited technical or business information where needed to provide their services. Providers are given only the information needed for their role and are expected to protect it appropriately.
International processing
Some service providers may process information outside the UK. Where this happens, we rely on appropriate safeguards required by UK data protection law, such as adequacy regulations or approved contractual protections.
How long we keep information
Enquiries that do not become projects are normally kept for up to 24 months so we can continue the conversation and maintain useful business records. Client, contractual and financial records may be kept for up to seven years after the relationship ends where needed for tax, legal or insurance purposes. Information is deleted or anonymised when it is no longer required.
Sharing information
We do not sell personal information. It may be shared with trusted service providers, professional advisers or authorities where reasonably necessary to operate the business, deliver contracted work, protect legal rights or comply with the law.
Your rights
Depending on the circumstances, you may ask to access, correct, delete or restrict the use of your personal information, object to certain processing, or receive a portable copy. To exercise a right, email hello@p4dotdigital.com. We may need to confirm your identity before responding.
You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
